Getting Started

A clear path from first conversation to dependable books.

Whether you already use QuickBooks Online or need to build the books from the beginning, onboarding starts by understanding the business, the current records, and the result you need.

The onboarding path

Know what happens before the monthly work begins.

The process is designed to gather the right information, protect access, identify cleanup issues early, and establish a bookkeeping workflow that can be repeated.

Step 1

Consult

Discuss the business, current books, pain points, and priorities.

Step 2

Review

Review the QBO file if one exists, or determine what is needed to create or migrate the books.

Step 3

Gather

Collect the financial accounts, records, loan information, payroll details, and supporting documents needed for the scope.

Step 4

Stabilize

Clean up, catch up, reconcile, or establish the file so the starting point is dependable.

Step 5

Maintain

Move into the agreed recurring workflow, reporting schedule, and communication rhythm.

Two common starting points

Existing books or a clean start.

You do not need to diagnose the books before contacting RNB. The first review helps determine which path makes sense.

Already using QuickBooks Online

Existing books can be reviewed for reconciliation status, account structure, old balances, uncategorized activity, receivables, payables, payroll posting, and other issues that may affect reliable reporting.

  • RNB provides the accountant-invitation address privately when access is needed.
  • Accountant access is preferred over sharing your own login.
  • Cleanup or catch-up can be scoped before ongoing monthly work begins.

No QBO history yet

A new file can be built from scratch or planned as a transition from spreadsheets, QuickBooks Desktop, another bookkeeping system, or incomplete records.

  • Review business type, banking, payroll, invoicing, projects, inventory, and reporting needs before choosing a QBO subscription.
  • Identify what historical information should be brought forward.
  • Build the chart of accounts and opening balances deliberately rather than accepting defaults blindly.

Documents and access

Gather what supports the financial story.

The exact request depends on the engagement, but common records include bank and credit-card statements, loans, fixed assets, payroll information, receivables, payables, prior financial statements, and supporting documentation for unusual balances or transactions.

Questions before sharing access?

Use the consultation to discuss what access is actually needed and why. RNB prefers controlled access and does not need authority to move client money.

Ready when the business is

Start with a conversation, not a pile of forms.

The checklists are there to make onboarding easier. The first task is still understanding the business and deciding what the books actually need.
